Church Event Planning Starts HERE

WHERE should I START?


Many times, when planning events – or getting handed an event to plan – there a few details already established. Often it is the date. Sometimes the place and type of event. “We want you to plan ______, for ________day. Make sure you include__________ . “


BUT other times you will get, “It would be great, if we could hold ______ for _____ (person or group)”.


Start with the basic questions: who, what, when, where, why and how – and build your to do list from there. Here are a few to help you get thinking:

WHO

  • Is invited/Are your Guests : This determines most of the major details for the rest of the questions.

  • Can help: This determines your planning team AND volunteers needed to find.

  • Will be the Entertainment – Does this event need any speaker/music/comic/etc.?

  • Will be the ONE Contact person for questions, reservations, or volunteers? - psst it is Usually You! Please ONLY one set of info should be put out (1 phone #, 1 email) on EVERYTHING!

WHAT

  • Kind of event: This determines what location to hold your event (if not already established). Also determines invitees and/or entertainment and/or food.

WHEN

  • IF not already established, need date(s) and time(s). Also need the length of the event – this helps people know what kind of commitment you are asking for.

  • IF outdoor event – a rain-date may be needed or alternate location.

WHERE

  • Is this to be held (“location, location, location” – VERY important)? Do you need to Include directions or an address so GPS can be used (if inviting anyone from outside your congregation).

WHY

  • Is this event being held (OR why, should someone attend)? This determines your audience for building your announcements/flyers.

  • Don’t skip this question… Why is the reasons behind holding the event or why someone should even consider attending!

HOW

  • Do I register

  • Find volunteers

  • Get more information

There will be MANY, MANY more questions to come! MOST of what an event planner is responsible for is answering questions and considering “what-if’s” (plan A, B, C etc.).

PLEASE! ONLY ONE contact per event – ALWAYS put the same information on every piece of event advertisement - 1 phone#, 1 Email, 1 social contact! One of my biggest pet-peeves is having questions about an event I am interested in – and having NO way to get the answers. [I usually do not attend events, where I cannot get questions answered!] Enough said.
